About the role
We are seeking a high-agency Executive Assistant to serve as the strategic backbone of the Founder’s Office which functions as a Chief of Staff or Operations Lead. You will drive founder-led projects, manage internal initiatives, and ensure seamless daily execution across multiple workstreams including operations, marketing, and recruitment.
Responsibilities
1. Executive Support & Communication
Calendar & Inbox: Proactively manage complex calendars, prioritizing urgent requests and resolving scheduling conflicts across multiple time zones.
Stakeholder Liaison: Act as the primary point of contact for internal team, clients, and external partners, ensuring professional and polished communication.
Meeting Management: Prepare agendas, briefing materials, and talking points. Capture key decisions and convert discussions into actionable task lists with clear ownership and deadlines.
2. Operations & Project Tracking
Project Orchestration: Maintain structured task trackers (Notion/Sheets) for active initiatives. Identify blockers and escalate risks to the Founder before they become delays.
Documentation: Maintain "source of truth", ensuring all plans, decisions, and processes are accurately documented.
Daily Updates: Provide execution status reports to the Founder, filtering routine updates from critical issues requiring intervention.
3. Talent & Recruitment Coordination
Pipeline Management: Manage the hiring lifecycle: post job descriptions, screen CVs, and coordinate complex interview loops between executives and candidates.
Data Integrity: Maintain accurate records and ensure a high-touch experience for all candidates.
4. Finance, Compliance & Admin
Financial Admin: Track expenses, manage vendor invoices, and oversee budget tracking for the Founder’s office.
Compliance: Coordinate with global legal and accounting teams to ensure international and Indian entity requirements are met.
Special Projects: Conduct ad-hoc research and provide rapid-response support during sensitive or urgent situations.
Minimum Qualifications
Experience: 5+ years of experience as an Executive Assistant, Project Manager, or Program Manager, preferably within a high-growth startup, VC firm, or consulting environment.
Education: MBA from a Tier 1 Business School. A bachelor’s degree in a technical domain is preferred.
Communication: Exceptional business English (written and verbal) with the ability to draft high-impact correspondence for C-suite stakeholders.
Mindset: A "closure mindset" with a high degree of discretion and the ability to stay calm under pressure in a high-velocity environment.
Remote Proficiency: Proven ability to work independently in a virtual setting with a professional home office setup. Ability to attend meetings in US and India time zones.
