Chief of Staff (Executive Office)

Summary

We have been retained by a client based in the United States to recruit for the role of Chief of Staff for the CEO office. This role provides an excellent opportunity to shape the strategy of the organization, engage with senior leadership, and acquire experience and knowledge of all key functions of the business. This role is pivotal in driving organizational priorities, enhancing operational efficiency, and ensuring alignment across the leadership team. The Chief of Staff will lead special initiatives, oversee critical projects, streamline decision-making processes, and ensure cross-functional collaboration to enable the organization to achieve its strategic objectives. The work hours for this role will align with American time zones.

Key Responsibilities

  • Support the CEO in developing and executing strategic initiatives, as well as business objectives

  • Lead research, gather data, and provide insights to aid decision making

  • Manage cross functional projects and initiatives, including setting up a method for collecting data with executives, reporting on progress to milestones, and identifying issues and obstacles requiring the CEO’s attention, and help resolve challenges 

  • Act as a liaison between departments to facilitate communication and alignment across teams

  • Facilitate Executive team meetings, including: compiling meeting agendas; developing monitoring materials, such as presentations, spreadsheets, and scorecards; collecting, organizing and circulating pre-meeting materials and actions; and providing summaries of key points, decisions and action items

  • Draft Internal and external communications on behalf of the CEO

  • Assist the CEO with the preparation of presentations and other correspondence

  • Support of Board level governance activities

  • Build and maintain relationships with stakeholders to foster collaboration and alignment on goals

  • Multitask and change course of action in rapid response to changes in the work environment and make timely decisions

  • Identify process improvements to enhance productivity and streamline operations

  • Proactively collaborate with other administrative support staff to develop procedures that enhance the function’s ability to support the company

  • Interface globally with clients, management and other colleagues and service providers

  • Ensure that the executive team is in compliance with corporate policies and procedures

Minimum Qualifications

  • Bachelor’s degree in Business Administration or related field of study or equivalent experience in office or business management

  • MBA or advanced education will be a plus

  • Proven track record in leading high-visibility projects and managing cross-functional teams

  • Demonstrated ability to thrive in a fast-paced, dynamic and high-pressure environment

Experience

  • Minimum 5 years’ experience working with C-Level executives or Senior / Executive Vice Presidents

  • Project Management certification or Six Sigma highly desired

  • Prior experience in high-growth, innovative organizations, or in key strategy or operations roles

  • Experience of working with Large Language Models (LLMs) or Artificial Intelligence tools and/or deployment will be preferred

  • Experience of working with multicultural and geographically distributed teams will be preferred

Skills / Competencies

  • Solid experience with project management and strong leadership in driving cross-functional efforts and in executing key projects

  • Strong business acumen, and ability to communicate at a high level with senior leaders

  • Exceptional attention to detail and ability to multi-task

  • Ability to maintain utmost confidentiality in all matters and aligns behavior with corporate culture with high level of integrity and work ethic

  • Excellent Interpersonal interactions and demonstrated ability to work as a team player

  • Excellent written and oral communications skills

  • Friendly and professional demeanor
